Create shifts, recurring patterns, and weekly rotas

Build the first rota, use recurring shifts where appropriate, and publish a schedule that managers and employees can trust.

Start simple and repeatable

The first live rota should be easy to understand, easy to publish, and easy to correct. Use recurring patterns only where the pattern is genuinely stable.

Before creating shifts

  • Check that teams and memberships are correct.
  • Confirm employees are active and ready to be scheduled.
  • Make sure contract or pay assumptions are in place if payroll depends on them.

How to build the rota

  1. Create single shifts for one-off coverage needs.
  2. Use recurring or patterned shifts for regular schedules.
  3. Assign shifts to the correct team and employee.
  4. Review the week by department or team before publishing.
  5. Check that night work, split patterns, or exceptions are intentional.

Good rota hygiene

  • Use consistent shift titles and notes.
  • Keep team ownership obvious.
  • Review overlaps, gaps, and overnight shifts before the week starts.
  • Avoid editing live schedules ad hoc without a clear approval path.

After publishing the rota, the next operational focus is attendance and timesheet quality. That is what determines whether payroll and labour reporting are trustworthy.
