Define certification and compliance requirements

Admins & HR 7 minutes Step 4 of 13

Set which roles or teams require certificates, licences, or compliance records before employees are assigned to work.

Why certifications should be configured early

If your operation relies on licences, training proof, right-to-work evidence, or other compliance documents, configure the requirement before employees are assigned into live roles.

What to define

  • The certificate or compliance item name.
  • Whether it is mandatory or optional.
  • Which department, team, or scope it applies to.
  • Expiry expectations and renewal ownership.

Good examples

  • Forklift licence for warehouse operators.
  • Food hygiene certification for kitchen roles.
  • Manual handling or safeguarding records for care teams.
  • Custom internal approvals for specialist machinery or site access.

Operational advice

Only create requirements you will actually maintain. A short, accurate compliance list is better than a perfect theoretical model that nobody updates.

What happens next

Once requirements are in place, set user permissions and manager scope so the right people can add, review, and monitor those records.
